About the job

Executive Assistant at Upswing Health

Location: Remote–EST time zone preferred

Part-time: ~20 hrs per week, with opportunity for growth into full-time role

About Upswing Health:

One in three adults will spend money on a musculoskeletal (MSK) issue this year, and nearly all of us have had (or will have) an MSK injury at some point in our lives. And yet, as the costs of MSK continue to increase at alarming rates, there is little evidence that outcomes are improving. At Upswing Health, we are building a platform that transforms the way MSK care is delivered, helping anyone with muscle and joint pain and placing them on the right path to recovery - from the start.

About the position:

We are looking for an experienced and highly motivated Executive Assistant to support our Leadership Team. This role will support senior leadership by managing a growing number of administrative projects and day-to-day tasks. The Executive Assistant must take a proactive approach, have strong attention to detail, and the ability to multitask. This is a fantastic opportunity to play a key role in the growth of an early-stage, mission-driven startup and gain experience across many business functions in the dynamic virtual care/health tech space!

Responsibilities include (but are not limited to):

  • Provide day-to-day administrative support to leadership team; anticipating and proactively managing tasks, schedules, and priorities
  • Manage Executives’ calendars and scheduling meetings and events; organizing board and advisor meetings and keeping minutes
  • Provide support for other administrative functions like payroll, HR, bookkeeping, billing, corporate and compliance documents
  • Function as an administrative liaison to external vendors and consultants
  • Update and maintain our customer relationship management database
  • Assist in the creation and editing of powerpoint presentations and marketing materials
  • Organize documents and files in company storage drive and retrieving as necessary
  • Manage and administer company software accounts (e.g. adding users, modifying permissions, etc.)
  • Onboarding new hires
  • Ongoing ad hoc projects and special assignments as requested

  • Bachelor’s degree, advanced degree a plus
  • 2-4+ years as an administrative assistant or other relevant experience, preferably in a healthcare and/or high-growth tech environment
  • Experience managing and delivering on multiple projects on a deadline
  • Experience with standard software applications, including productivity tools and a high level of proficiency in Microsoft Office suite (Word, Excel, PowerPoint)
  • Experience working with a customer relationship management (CRM) system
  • Experience with QuickBooks a plus

Our ideal candidate is:

  • Motivated by our mission to improve lives by changing the way healthcare is delivered
  • A hardworking, highly organized, self-motivated problem-solver
  • Able to thrive in an early-stage startup environment with constant change and ambiguity; capable of both working well independently and problem solving collaboratively
  • A quick learner with the ability to become proficient in the basics of new software applications and databases
  • Highly trustworthy and adheres to ethical standards–we handle sensitive patient information and trust is core to our company values and brand
  • An excellent communicator with outstanding written and verbal communication skills; ability to work cross-functionally

We have a flexible, work-from-anywhere policy as our team is fully remote, with team members in Connecticut, Massachusetts, New York, California, and Florida. **Most of the team is on the East Coast, so candidate’s schedule should be able to align accordingly**

Salary is negotiable depending on experience. If brought on full-time, we offer a performance-based bonus, benefits (health, vision, dental), and a flexible time off policy.
