Job Description Overview
Job Title: Import / Export Administrator
Location: Deeside
The Import/Export Administrator plays a crucial role in supporting the ITC Manager by overseeing daily import and export operations. This position requires strong analytical skills to manage the necessary paperwork and customs procedures involved in the importing and exporting of goods. The administrator will work closely with shippers, customs agents, and freight forwarders to ensure the smooth movement of shipments. A solid understanding of export laws, customs regulations, and trade agreements is essential for maintaining compliance and minimising risks. Excellent communication and problem-solving skills are vital for effectively addressing any issues that may arise during the shipping process.
Job Role:
• Provide customs brokers with clear import clearance instructions and ensure that any discrepancies are addressed immediately.
• Ensure that all import compliance requirements are met and that goods are delivered promptly.
• Ensure that Triumph export documentation complies with regulatory and customer requirements.
• Resolve any issues that may arise with export shipments if the goods encounter problems during transit.
• Approve manual shipments when system-generated invoices produce documents with zero value, while being aware of HMRC valuation rules.
• Support license administration needs, which includes maintaining a register of exports (both tangible and intangible), conducting annual ECJU reporting, obtaining annual certifications, and reviewing additional licensing needs for new licenses.
• Maintain and update relevant system records and provide necessary reporting to the broader business as required.
• Conduct record-keeping activities regarding export and import compliance, aligned with UK/IOM and US regulatory requirements.
• Review company MSS data to identify gaps and escalate these issues to the ITC manager.
• Assist the department in gathering statistics and other information related to audits and reporting (both internal and external).
• Approve freight invoicing based on courier rate cards and general business activities, escalating any issues to the ITC manager as they arise.
• Complete any additional work-related tasks that are deemed reasonable for this role.
Job Requirements:
• Outstanding organizational and coordination skills.
• Excellent communication and problem solving skills.
• Experience in working with customs procedures and an understanding of best practices.
• Proficient in product classification, including tariff and export control.
• Experience with export licensing for both the UK and the US, including ITAR regulations.
• Knowledge of import and export laws and regulations, and a commitment to staying informed about changes in these areas.
