Wheelhouse Entertainment LLC is the television creation arm of Wheelhouse Group LLC, a multi-vertical company focused on the intersection of content, marketing, talent and investment. Wheelhouse Entertainment’s production supports its content labels, including Butternut LLC, Twist Media LLC and Spoke Studios LLC, and is responsible for the production of series across many different genres. Wheelhouse Entertainment was started in January 2018 by Brent Montgomery and is based in New York, L.A., London and Stamford, CT.

THE ROLE

Wheelhouse is seeking a motivated, organized and computer savvy freelance Office Production Coordinator to join their growing production team in the Los Angeles office. This position is based in West Hollywood and requires being in the office five days a week. The ideal candidate is interested in working and furthering their career on the production side versus the creative side of the industry.

WHAT YOU’LL DO

As Production Coordinator, you will play a pivotal role in ensuring smooth workflows, clear communication, and efficient office operations for a busy production department that is managing multiple, simultaneous unscripted productions across several time zones. This role will have the important responsibility of working within the team and cross-functionally with other departments to verify that the project management system is kept updated. This role also includes light administration support to at least two production executives.

  • Update and maintain accuracy of various trackers, documents and calendars (e.g. production calendars, contact sheets, production slate, team grids)
  • Responsible for the updates and distribution of the production guidelines/handbook
  • Facilitate cross-functional communication; create and distribute timely information and materials to appropriate internal and external parties as needed
  • Book travel and create travel memos for production executives
  • Maintain Box folders for all production calendars and documents; follow up with field teams to ensure show specific documents are loaded into Box
  • Collaborate with operations, HR and finance teams to facilitate paperwork for onboarding and administration of vendors and contractors
  • Track and organize team invoices and receipts for reconciliation of purchasing card and credit card expenses; order and correctly bill background checks, rental cars, etc.
  • Coordinate and schedule internal and external team meetings for the production department
  • Asset management for equipment
  • Light calendar management, travel and receipt reconciliation for at least one or two production executives
  • Occasionally responsible for ordering and distributing office and kitchen supplies
  • Other projects and duties as assigned

WHAT YOU’LL NEED

  • BA/BS degree in Television/Film or Communications or equivalent practical experience
  • 2+ years working as a Production Coordinator in the office of a production company or network/streamer working in unscripted television; field experience a plus
  • Must be proficient with Google Sheets, Google Docs, Gdrive, Google Slides, Microsoft Word, Excel, Box and Slack
  • Experience with Airtable preferred or enthusiasm to learn project management software such as Airtable
  • Must be able to work in the West Hollywood office five days a week
  • Interested in pursuing a production management career path
  • Ability to work in a fast-paced environment and multi-task with rapidly changing priorities
  • Exceptional organization, communication and project management skills with superb follow through; excellent at prioritizing work and time management
  • Ability to inspire and motivate small office team
  • Trustworthy with sensitive and/or confidential information in an open office setting
  • Deep understanding of industry terminology and the phases of production
  • Familiarity with production equipment, camera systems, and lighting

We are committed to pay transparency and equity. The compensation range for this position is $1,400 - $1,600 per week. Final compensation will be based on qualifications and experience.
